Review Packs and Operating Reports

These projects improve the meeting, not just the document. One replaces a long status pack with a short operating review built around material exceptions and decisions. The other requests commentary before issue and carries unanswered decisions into the next meeting.

The six-page PowerPoint and PDF reconcile to the underlying programme records. The Excel log retains 160 explanation requests, 40 meeting decisions and 18 actions carried once.

Two review settings

The short meeting pack and the commentary log do different jobs.

The operating pack selects four material exceptions and three decisions for the meeting. The commentary log begins earlier, when a significant movement needs an explanation, and keeps unanswered questions alive for the next reporting cycle.

What the pack must retain

Clear reporting is selective, connected and ready for a decision.

The format changes with the meeting. The discipline does not: the reader should be able to follow why an item appears, what it means and who is responsible for the next move.

    Materiality sets the agenda.

    The pack gives space to movement, risk or uncertainty that could change the meeting decision. Supporting detail remains available without competing with the main question.

    Narrative explains the movement.

    A useful comment says what changed, why it matters and what should happen next. It does more than repeat the number shown beside it.

  3. 03

    The decision has an owner.

    Recommendations, approvals and follow-up actions name the person responsible and the point at which the matter returns for review.

  4. 04

    Known data limits stay beside the decision.

    A known timing or data limitation is stated beside the decision it affects. It is not hidden in an appendix or removed from the issued pack.
